New software consultant joins Karmak
Kathy Cronin
Kathryn Cronin recently joined the Karmak, Inc. Consulting Group.
Kathy comes to Karmak with eight years of experience in the trucking financial and computer system areas. Kathy has extensive knowledge of the workings of the heavy-duty truck industry computer system. Her background includes coordinating with the Legend system as system administrator for RDO Truck Centers.

Legend General Ledger quick lookup

How often do you have to go back to your Bookkeeping reports to find how an invoice posted to the General Ledger?  Do you have to look at those same reports when you see an entry in a G/L number that says the source is INVOICES BR: 1?

Did you know there is a quick lookup program that can display this information on the screen?  This program is normally on the additional G/L menu as Display A/R Invoice G/L Hist. (AR820).  It can be very helpful for these types of lookups.

INFO 5 system console should not be used as a regular terminal

When clients use their system consoles as regular terminals, they can experience problems with false dates on transaction documents (work orders, counter tickets, journal entries, etc.). 

Quite often, clients call Applications Support, certain they made an entry on a particular day, but the date in the General Ledger shows a different day.

INFO 5 Tips

  • Deleting General Ledger accounts at year-end may result in a problem if those accounts had a balance in the prior year. This will cause any financial reports processed for prior years to be out of balance. You must wait until all prior year reports have been completed before deleting these accounts. 
  • As of Release 7.0, most files on the AS/400 are now externally described. This means you do not have to link files in order to write a query. An AS/400 command that is very helpful in researching fields within a file is available to you now. Enter SHOWFILE X.FILENAME on the Command Line to display all the field names, their length, and position in the file along with a description of the fields.

Legend Tips

  • Did you know that in Inventory File Maintenance (IN900) you can enter (A)dd,
    (
    D)isplay, (C)hange, (P)art Number Change, (X)delete or (B)ranch Copy in the Part Number field? You don't have to return to the strip menu to change routines.
  • If you run Purchase Order Receiving Slip (PU887) on the Counter Menu, it prints any backorders for parts on that purchase order. This helps receiving personnel know that parts are backordered for a customer before Auto Backorder Pick Lists are printed.
  • When creating a new repair order in Repair Order Entry/Processing (RS120), you can enter ? or * in the Unit field to search for a particular unit.

Truck Parts & Service magazine emphasizes importance of electronic business

In the June 2000 issue of the heavy-duty industry magazine Truck Parts & Service, editor David Zaritz predicted serious consequences for companies that fail to gear up for the electronic age.

Zaritz cited investing in computer equipment, establishing service with an Internet provider, and maintaining at least one modem line with a high-speed connection as the minimum requirements for conducting business in the near future.

Dealers benefit from factory interfaces

Karmak offers dealers several manufacturer interfaces that can help you manage your business and reduce paperwork. Stock orders and warranty claims created in the Legend system can be transferred to the OEM system via a PC or a network connection. You get the advantage of Legend’s warranty and purchase order tracking capabilities with the ease of computer-to-computer data transmission. 

Financial Reporting Systems calculate and print financial reports automatically. Financial Download modules transmit data electronically to the manufacturer. Other modules help you locate parts, place fleet orders, manage inventory and other special functions. We currently offer the following OEM interfaces:

Enhancements prevail in INFO 5 Release 7.0

This release marks the first major enhancement release since March 1995

With more than 25 enhancements included with Release 7.0 of the INFO 5 Software Package, clients will definitely see several stand out.

First and foremost, most clients will be able to receive the update on CD-ROM, which will greatly reduce the LODRUN process.

Another System-wide enhancement falls more behind-the-scenes, but clients will notice that they will have to evaluate the status of queries to accommodate for nearly every file in the System being externally described.

eOrder Entry interfaces with INFO 5

The INFO 5 Remote Order Entry system is nothing new. The existing module allows a client’s customers to use a PC with a modem to dial into the client’s AS/400 system and place parts orders.

Through this option, customers may inquire about available quantities on-hand and place orders 24 hours a day (other than during the dedicated portion of End-of-Day.)

New Navistar emulation software offered

The introduction of G3 and G4 models creates need for new Macintosh emulation package.

In their parts departments, Navistar dealers typically have Macintosh PCs — called the Access System — designed by Navistar for a parts system interface.

To avoid having more than one terminal at a work station, dealers sought the capability of using an INFO 5 emulation session on the Macintosh.
